The Role: 

We are seeking a HR Assistant & Office Manager to join our rapidly growing workforce in Limassol, Cyprus. The successful candidate will be an attentive and diligent individual who will act as a pivotal figure in ensuring the operations of the local business run smoothly and efficiently. They will understand the importance of a company culture and they will be responsible for creating a great work environment and place to work for everyone. The Office Manager will be passionate about delivering the small and big touches that make the office and everyday life run smoothly. 

Key Responsibilities:

HR Administration- related tasks:

  • Act as the first point of contact for HR Administration related matters at the local office.
  • Provide support with the management of the local recruitment matters (including posting job ads, preparing job descriptions, scheduling interviews).
  • Manage the process of onboarding and offboarding of the employees.
  • Assist with the preparation of the contractual documentation for local staff, in line with the Cyprus laws.
  • Manage the employees’ benefits offering program (assigning on new joiners and terminating any leavers from the plan).
  • Keeping a record of staff’s leave (PTO, sick leave, and other types of leave).
  • Provide administrative support in regard to the arrangement of annual and probationary reviews for local staff.
  • Regularly review and update the local Employee Handbook and ensure that it is fully compliant with the Cyprus employment law and best practices.
  • Consistently updating the organizational chart for record keeping purposes.
  • Liaising with external vendors such as an employment visa provider (for non-EU employees) and local recruitment agencies, where and as needed.
  • Working closely with the management on mapping out the relevant training plans for local staff.

Office Management- related tasks:

  • Act as the first point of contact for the office (meet & greet visitors, handle inbound calls, and monitor inbound email inquiries).
  • Provide administrative support by taking minutes during internal meetings, preparing documents, scheduling travel arrangements, and arranging catering.
  • Manage the inventory of the office: stationery supplies, furniture, IT equipment, and snacks and drinks for the kitchen.
  • Keep the office safe and orderly by ensuring tidiness and organization.
  • Manage our external building partnerships including our cleaners, facilities suppliers, etc.
  • Manage various vendor contracts and the price/contract negotiation process.
  • Be our internal voice and main point of contact for all internal communications and social events.
  • Maintain the security of the office (access keys, fire drills, and health and safety compliance).
  • Other duties, as assigned. 

Requirements: 

  • 2+ years of experience in role encompassing Office Management and HR Administration.
  • BA degree in Business Administration, HR or a related field.
  • A service-first mentality with an upbeat and positive personality.
  • Excellent time management and prioritization skills.
  • Strong organizational skills and attention to detail.
  • Ability to build strong relationships with the teams.
  • Advanced MS Office Suite skills.
  • Professional and able to maintain confidentiality.
  • Excellent oral and written communication skills in English and Greek.
  • Ability to work in a fast-paced environment.
